Customers, credit and suppliers

The clients list, selling on credit, recording payments and printing statements; suppliers, their deliveries, supplier invoices and payments; and expenses for the net profit.

Customers, credit and suppliers need the Silver package of the program, or any CreekPOS Online plan.

On the program, switch on Settings → General → Enable suppliers & clients lists (pick the client on a sale, the supplier when receiving stock). The top bar then shows Suppliers & clients. The Credit button and selling On credit work even without the lists. On CreekPOS Online the lists are on from the start: Customers & credit and Suppliers & money out in the menu.

The clients list

Suppliers & clients → Clients: each client's phone, notes, this month's purchases and what they owe.
Suppliers & clients → Clients: each client's phone, notes, this month's purchases and what they owe.

Suppliers & clients → Clients shows each client's phone, notes, This month's purchases, what they owe (in red) and their last visit (and points, with loyalty on). Buttons: Add (Ctrl+N), Edit, Statement and Delete.

A client has a name, an optional phone, notes, a Client tax registration number (companies only — printed on invoices) and, with price levels on, Wholesale client. A client who owes money cannot be deleted until the balance is settled.

You can also add a client from the sales screen: press the client button above the receipt and type a new name and phone. If a client with that name but another phone exists, CreekPOS asks whether it is the same person.

On CreekPOS Online: Customers & credit → Customers lists the customers with their balance and points and has a New customer form.

CreekPOS Online → Customers: each customer's phone, balance and points.
CreekPOS Online → Customers: each customer's phone, balance and points.

Selling on credit

At the till, On credit (F5) puts the sale on the client's account. If no client is on the sale yet, Charge to whom? asks. See Customers and credit at the till.

CreekPOS does not set a credit limit. Keep an eye on the balances in Credit and in the daily summary.

Who owes what

Credit accounts: what each client owes and the total.
Credit accounts: what each client owes and the total.

The Credit button on the top bar opens Credit accounts: every client with a balance and the Total owed.

  • Record payment (Ctrl+M): the client pays all or part of the balance. The amount starts at the whole balance; quick buttons add 10, 20, 50, 100 or 200. The drawer opens for cash.
  • Statement (Enter): every sale on credit, payment, void and return with the running balance, shown at real size, then Print customer statement.
  • Print everyone's balances (Ctrl+P): the list on the receipt printer.
  • New customer.

A void or a return of a credit sale lowers the balance by itself.

On CreekPOS Online: Customers & credit → Who owes and Record a payment. A customer's statement can be printed or sent on WhatsApp, and Reports → Credit report lists all balances.

Suppliers

Suppliers: each supplier's deliveries, their total and the last delivery.
Suppliers: each supplier's deliveries, their total and the last delivery.

Suppliers & clients → Suppliers lists each supplier with the number and total of deliveries and the last one. Deliveries shows what came: date, product, quantity, cost, expiry and who received it. The supplier is chosen when stock is received (see Receiving a delivery).

Supplier invoices and payments

With Suppliers: invoices & payments, plus expenses (rent, salaries…) for net profit on (Settings → Features), each supplier has a Supplier account and the list shows what you owe them:

  • Supplier invoice: the amount of an invoice and its number;
  • Pay supplier: a payment. If a shift is open you are asked Paid in cash from the drawer?; the answer records a cash-out of the shift;
  • the print button prints the supplier's statement.

A purchase-order delivery books its supplier invoice by itself. A plain receiving does not: type the invoice in the supplier account. A supplier you still owe cannot be deleted.

On CreekPOS Online: Suppliers & money out → Suppliers (Invoices & payments for each).

Expenses

With supplier invoices on, Expenses on the top bar records money spent that is not stock: rent, salaries, electricity. Add expense: the category, amount and a note; when paid from the drawer it is recorded on the shift. The Profit report then shows the expenses and the net profit. On CreekPOS Online: Suppliers & money out → Expenses and Net profit.
