ERP in CreekPOS Online

Purchasing, warehouses, projects and fixed assets, in the app you sell with

Available now in CreekPOS Online

When a shop grows into a trading or contracting business, the till is no longer enough: purchases need approval, suppliers need comparing, stock sits in a back store, a warehouse in Al Quoz and a van, long jobs run for months, the shop owns machines and vans that must be accounted for, and the owner runs two or three companies. CreekPOS Online now has these as modules of the same account: purchase requests and approvals, supplier quotes by link, delivery notes and the three-way match, stock locations with transfers that travel until they are received, batches and serial numbers, projects with budgets, timesheets and billing, a fixed-asset register with monthly depreciation, and one view of your companies.

Procurement, Warehouses, Projects and Fixed assets are in Online Restaurant and Chain, and in the 14-day trial; for Online Retail they are add-ons: Procurement AED 49, Warehouses AED 49, Projects AED 49 and Fixed assets AED 29 a month before VAT (Fixed assets needs Books, which comes with Restaurant and Chain). A group of companies is part of Online Chain.

  • Switch modules on and off in Settings → Modules
  • Approvals by amount, never by the person who asked
  • Supplier quotes by link, side by side
  • Transfers that travel until they are received
  • Projects billed by milestone, progress or time
  • Fixed assets depreciated into Books each month

01Modules

One account that grows into a suite

Settings → Modules is one page of cards: Sales and Till, Stock and Purchasing, Customers and Loyalty, Jobs and the Credit Book, Books, HR and Payroll, Bookings, the online shop and screens, the Front Desk, Connections, AI, Procurement, Warehouses, Consolidation, Projects and Fixed assets. Each card says what it includes and how it is priced, in your plan or as a monthly add-on, with a switch. Nothing to install: it is the same app, the same login and the same bill.

  • A module your plan lacks shows the plan it is included from, with Upgrade
  • Switch a module off and its pages leave the menus and the quick search (Ctrl+K)
  • Dependencies are named: Procurement and Warehouses need Stock, Jobs and Projects need Customers, Fixed assets needs Books
  • Switches are per branch: a Chain's other branches keep theirs
  • The owner buys an add-on in Billing → Plan → Add-on modules, and can cancel it there any time

02Requests

Purchase requests, approved the way you decide

Anyone with the right to raise purchase requests asks for products and quantities, with a reason, the date needed and a preferred supplier per line, priced at that supplier's latest price list. Per branch you set an amount up to which a request is approved at once, and an amount above which two different people must approve; in between, one approval is enough.

  • The owner names the first and second approvers, or leaves it to managers with the approve right
  • Never the person who asked, never the same person twice
  • An approvals inbox; a rejection always carries a note
  • Monthly budgets per product category: a warning, or a firm limit that needs two approvals to pass
  • An approved request becomes one order, or one order per supplier

The buy-once desktop program has procurement too, from version 5.7.0 in Desktop Gold: purchase requests, approvals, the three-way match and supplier ageing on one PC, offline. Quotes by link stay online. Get the desktop program

03Supplier quotes

Quotes from up to eight suppliers, by link

Before you order, ask several suppliers for their price. Each supplier gets its own signed link, sent from your own WhatsApp or copied into any message. The supplier opens it on the phone, types the price and the quantity it can deliver per line, and a delivery date. It never sees your costs.

  • The quotes side by side, the cheapest per line marked, the best quote suggested
  • Pick a quote and the order is made at the quoted prices
  • The quoted prices become that supplier's next price list
  • We do not e-mail the links: you send them from your own phone
Three suppliers answer the same request on their phones

04Delivery notes

Receive against the order, line by line

When the goods arrive, the delivery note records per line what was delivered, what was damaged and refused at the door (it never enters stock), what was accepted, and anything over or short, with batch and expiry. Partial deliveries are fine: the order stays open for the rest.

  • How late each delivery was, for the supplier's scorecard
  • Batches and expiry dates taken at the door
  • Over and short lines known before the invoice arrives
Cartons counted against the order at the back door

05Three-way match

The supplier's invoice checked against the order and the delivery

Type the supplier's invoice, or fill it from a photo with the AI invoice reader. CreekPOS compares it with the order and the delivery note: by default prices within 1 % and quantities exact, both tolerances yours to set. A match is posted as a bill in Books with the right VAT code and due date, so the cash forecast sees it; without Books, the supplier's account takes it.

  • Not matched? It waits in “Invoices to check”
  • Accept it as it is (with a note), dispute it, return the goods to the supplier, or match again
  • The supplier's payment terms set the due date
  • The comparison is exact arithmetic: only reading the photo is AI

06Suppliers

What you owe, and which supplier you can count on

Supplier ageing shows what is not due yet and what is 1–30, 31–60, 61–90 and over 90 days old. The scorecard shows each supplier's record: deliveries on time, the fill rate, prices against the orders, and goods that arrived damaged.

  • Owner alerts for requests waiting too long, invoices that did not match and late orders
  • A line in the daily summary
  • Ask your shop: “what is waiting for my approval?”, “which supplier is late?”
  • Three new rights in Team → Rights, so each person does only their part

07Locations

The shop floor, the back store, a warehouse and a van

A branch can now hold stock in several places: the shop floor the till sells from, a back store, a central warehouse (not a selling branch, so no extra branch to pay for), a van or consignment stock. Up to 50 locations, with bins (shelf codes) and a min and max per product per location.

  • Valuation per location at the product's cost, plus what is on the way
  • Counts of a whole location, a category or a bin: blind for staff, a manager approves the difference
  • A location at or under its min is refilled to its max from its source location
  • A location with no source is pointed at the smart reorder
  • The till sells from the shop floor: stock moves there first

08Transfers

Transfers that travel until they are received

Request, pick by scanning, dispatch, receive. Pick with a barcode scanner or the phone's camera: a product, a pack, a batch or a serial. Dispatch prints a numbered transfer note with a QR that the receiver scans. Inside a branch a move is instant; between branches on the Chain plan, the stock is “in transit” until the other side counts it and confirms.

  • Receive in parts; short, damaged or extra goods go to a manager to settle
  • Each settled line is written off or kept, with the name of who decided
  • Alerts for transfers late on the way and for differences
  • Between branches you choose: instant as before, or in transit

09Batches and serials

Batches and serial numbers, wherever they are

Batches travel with their expiry and cost from location to location. Serial numbers are received one by one, and a serial already in stock is refused. When a supplier recalls a batch, you find it in every location, on the way, and in the receipts it went into.

  • A recall is one search across the shop floor, the stores, the vans and the transfers
  • Ask your shop: “where is batch L2405?”
  • Serial-tracked categories for phones and appliances
One batch found on the shelf, in the store and on its way

10Projects

Projects: long jobs with a budget, a team and several invoices

For contractors, fit-out and maintenance firms, agencies, event and printing businesses, and workshops with long jobs. A project PRJ-000123 has a customer, a site, a manager, dates, a contract value and a budget split into phases, each with its own budget, dates and milestone amount. Tasks with an assignee, a due date, a checklist and comments move across a board of four columns: to do, doing, review and done.

  • Time typed on the phone page, or Clock in / Clock out, one running clock per person
  • Each hour costed at the person's pay from HR, else the salary on their staff record, else a rate you set
  • A weekly timesheet: Approve the week, or Send back with a note
  • Costs from the Expenses page, materials taken from stock at their cost, supplier bills and subcontractors
  • Invoices by milestone, progress or time and materials, with retention and advances, through Books with VAT or on the customer's account
  • Budget against actual per project and phase, with the margin; owner alerts for late, over-budget and unbilled work
  • Field staff without the money right see only their own tasks, time and projects
A project's board, its phases and the team's hours

11Fixed assets

Fixed assets: what the shop owns, and what it is worth now

The coffee machine, the shelves, the van, the tills' computers, the shop's fit-out: each one is registered with its cost, a tag FA-000123 printed as a barcode label, a photo, a place, a warranty and a useful life. Every ended month CreekPOS shows a preview of the depreciation, then posts one journal per branch into Books, never twice; after the first month it runs by itself.

  • Straight-line or declining-balance depreciation, the first and last month counted in days
  • The cost from a Books bill, paid now from cash or bank, or already in the books
  • Sell or dispose on a day: the gain or loss is posted, with 5 % VAT on a sale
  • Transfers between branches, revaluation and impairment
  • Counts by scanning the tags with the phone's camera: found, missing, from elsewhere
  • Owner alerts for warranties ending and a month waiting; Ask your shop: “what is the book value of our assets?”
  • Books' earlier asset page moved here, with the same book values
Tagged assets and the month's depreciation

12Group

Several companies, one group view

The owner of a shop on Online Chain creates a group and invites the owners of other shops or companies by e-mail. Each invited owner approves, and chooses what to share, before anything of their shop is read. Up to 20 shops; a shop on any plan may join, and any shop may leave at any time.

  • One dashboard: sales, profit, margin, stock value, cash, what customers owe and what you owe, per shop and for the group
  • The business between your own companies removed from the group's figures
  • A group profit and loss and balance sheet from each shop's Books, VAT side by side, never added up
  • Stock moved between companies at an agreed price: a sale in one, a purchase in the other
  • Products, prices and suppliers shared to the shops that opted in, always after a preview
  • Ask the group: “group profit this month?”, “which shop is below budget?”

Plain answers

What it is, and what it is not

  • These are modules of CreekPOS Online. The buy-once desktop program keeps its own purchase orders and receiving and, from 5.7.0 (Desktop Gold), has purchase requests, approvals and the three-way match; warehouses, groups, projects and fixed assets are online only.
  • Procurement, warehouses, groups, projects, fixed assets and the modules page are exact software, not AI. AI appears only where it reads a supplier's invoice photo and in Ask your shop.
  • A till sells only from its branch's shop floor: stock in a back store, a warehouse or a van moves there first.
  • Consignment stock is kept as a location; settling it with the supplier is not built.
  • Stock moved between companies of a group is recorded in each shop, but not posted into each shop's Books by itself.
  • A group has three roles: group owner, accountant and viewer. It joins CreekPOS shops only; for shops in other countries, the group owner sets a rate per shop.
  • Projects has no Gantt chart, no drag and drop on the board, no task dependencies, no recurring tasks and no quotes as documents.
  • Fixed assets needs Books. It does not do component depreciation, units of production, tax depreciation tables or partial disposals.

Questions about the ERP

Is this a separate ERP product?

No. It is the same CreekPOS Online account: one login, one bill, the same products, customers, suppliers, branches and team. You switch the modules on in Settings → Modules.

What do the ERP modules cost?

Procurement, Warehouses, Projects and Fixed assets are included in Online Restaurant and Online Chain. For Online Retail each is a monthly add-on before VAT: Procurement AED 49, Warehouses AED 49, Projects AED 49 and Fixed assets AED 29 (Fixed assets needs Books, which comes with Restaurant and Chain). The owner buys an add-on in Billing → Plan → Add-on modules and can cancel it there any time; or ask us on WhatsApp.

Projects or job orders: which one do I need?

Job orders are short tickets taken at the counter with a deposit (a laundry bag, a phone to repair, an abaya to alter), ready in days and collected as one ordinary sale at the till. A project is a long job for one customer: a contract, a budget split into phases, the team's hours, costs from several places, and several invoices by milestone, progress or time and materials, with retention and advances. A shop may use both.

Do I need Books for fixed assets?

Yes. Fixed assets posts its depreciation, sales and transfers into Books, so it cannot be switched on before Books, and Books stays on while it is on. Books comes with Online Restaurant and Chain. A shop that used Books' own asset page finds its assets in Fixed assets with the same book values.

Does the desktop program have procurement?

Yes, from version 5.7.0 in Desktop Gold (and Platinum): purchase requests, approvals, the order made from a request, the supplier's invoice matched with the order and the deliveries, invoices to check, supplier ageing and a Procurement home, on one PC and offline. Quotes from several suppliers by link stay in CreekPOS Online.

Do my suppliers need an account?

No. Each supplier gets its own signed link that opens on any phone. They type their prices, the quantities they can deliver and a delivery date; they never see your costs.

Can someone approve their own purchase request?

No. The person who asked can never approve it, and one person never gives both approvals.

Can a till sell from the warehouse or the van?

No. A till sells from its branch's shop floor. Move the stock there with a transfer; inside a branch it is instant.

Who sees a group's figures?

Only what each owner agreed to share when they joined, and only the people the group owner gave a role: group owner, accountant or viewer. Any shop can leave at any time.

Is this AI?

No. Approvals, matching, transfers, projects, depreciation and the group's figures are exact software. Reading an invoice photo and Ask your shop are the AI parts.
