Invoice from a photo (AI, in pilot)

Reading a supplier's invoice from a photo with AI - in pilot, ask us to switch it on - the agreement in Settings, the review screen and its colours, and confirming the stock receipt.

In pilot — ask us to switch it on. Invoice from a photo is in CreekPOS Online and is switched on for a shop on request while the pilot runs. A few readings a month are included in paid plans; a trial shop can try 2.

Before the first reading

A manager opens Settings → Invoice photos and ticks I agree that invoice photos are sent to the AI provider to be read. Until then nothing is sent anywhere. The photo is shrunk, stripped of location and other details, and sent over an encrypted connection; under the provider's commercial terms it is not used to train its models. The agreement can be withdrawn at any time.

Reading an invoice

  1. Inventory → Invoice from a photo (or From a photo on Receive stock).
  2. Take a photo (on a phone this opens the camera) or Choose a file: JPEG, PNG, WebP or PDF up to 5 MB, PDF up to 5 pages.
  3. Press Read the invoice.

The review screen

The photo is on one side (zoom 1×, 2×, 3×), the lines on the other. A banner says Matches the invoice: 4,032.00, or that it differs from the printed total and on which line. Each line shows the product it was matched to (by barcode, by this supplier's own name for it, or by name with the best three candidates), the quantity, pieces per unit, unit cost, line total, and expiry and batch when you keep lots. Green is sure, amber deserves a look, red needs you: choose a product, search any product, Make it a new product, or Skip the line.

Check the supplier, invoice number and date, the VAT line (added on top, included or none), and whether it is on account or paid now. Add the next page for long invoices.

Confirming

Press Confirm and receive. Stock, costs, lots and the supplier's account are updated exactly as the normal Receive stock does, and the photo stays with the invoice. The program remembers what this supplier calls each product. The same photo twice opens the same draft, and the same supplier and invoice number is refused unless you tick Post it anyway.
