Users and rights
Manager and cashier accounts, the rights you can give a cashier, the discount limit, manager approval with a password or a card, login cards, and the team on CreekPOS Online.
Every person who uses the till should have their own account: each receipt and each shift records who did it. More than one account needs the Silver package of the program; on CreekPOS Online the plan sets how many accounts you have (6 on Retail, 15 on Restaurant, no limit on Chain).
Roles
The program has two roles:
- Manager (full access): everything, including Settings, Users, Backup and the kitchen screen. The account made at the first start is a manager.
- Cashier (sell only): sells, and does anything else only with a right you give, or with a manager's approval at that moment.
CreekPOS Online has three: Owner (the account that signed up: billing, the shop's details, the data), Manager and Cashier.
Adding a cashier
- Settings → Users (or Users on the top bar) → Add user.
- Type the Name, choose the role, type the Password twice.
- Tick the rights this cashier needs (below).
- Optionally register a Login card.
- Save.
To change a password, select the user and change it (leaving it blank keeps the current one). Visible / Hidden switches an account off without deleting its history. You cannot delete, hide or demote the last manager, nor delete yourself.
The rights
The box Extra rights for this cashier (anything unticked asks for the manager's password at the time):
| Right | Default for a cashier |
|---|---|
| Open the drawer without a sale | on |
| Reprint the last receipt | on |
| Print an A4 invoice | on |
| Void a receipt | off |
| Returns (refund items) | off |
| Discount above the allowed limit | off |
| Sell at a price other than the product's | off |
| Reports | off |
| Inventory & receiving | off |
| Edit products & prices | off |
| Credit accounts & collections | off |
| Suppliers & clients | off |
| Expenses & supplier invoices | off |
| Close another cashier's shift | off |
| Delete a held order / table | off |
| Close the program | off |
A right gives the cashier the matching button on the top bar (Reports, Inventory, Products…). Settings, Users, Backup and the remote support session are always for managers only.
The discount limit
Settings → Features → Max discount a cashier may give without a manager (%), 10 % unless you change it. A cashier's discount above it needs a manager, unless the cashier has Discount above the allowed limit. On the program 0 means every discount needs a manager. On CreekPOS Online the setting is Settings → Selling → Cashier discount ceiling %, and 0 means no limit.
Manager approval
When a cashier tries something they are not allowed, Manager sign-in to continue opens. The manager picks their name and types their password, or swipes their card. The approval covers that one action; the cashier stays signed in.
Login cards
A magnetic-stripe or RFID card reader that types like a keyboard lets people sign in with a swipe.
- In Settings → Users, edit the user and press Swipe the card now in Login card; swipe within 20 seconds.
- Save. The card is shown masked: only its last 4 characters. Clear the card removes it.
At the sign-in, Or swipe your card signs in without a password. A manager's card also approves actions for a cashier. Each card belongs to one person. If a card is lost, clear it and register a new one.
The team on CreekPOS Online
Team → Users lists the accounts with n / m accounts of your plan.
- New cashier account: a name, a till password (at least 4 characters) and a preset of rights: Cashier, Senior cashier, Stock-taker or Accountant. Fine-tune with the user's Rights.
- Invite: a manager or a cashier by e-mail. The invitation lasts 7 days; it can be resent or cancelled.
- Reset password and Deactivate / Activate.
- Activity log (owner only): sign-ins, sales, returns, voids, product and stock changes, devices, settings, plan changes, filterable by type and date.
Cashiers sign in at the till with their name and till password. Managers and the owner sign in to the web app with a code sent by e-mail; see Signing in.
