How to know what happens in your shop when you're not there

Most owners cannot stand behind the counter all day. You have suppliers to meet, a second branch, a family. The shop keeps running, and almost always it runs well. The problem is the "almost": a void that was not a mistake, a discount nobody approved, a drawer that is short at the end of the shift. You usually find out days later, if at all.

This guide is about knowing the few things that matter, the moment they happen, without spending your evening reading reports.

The events worth knowing about

A till records hundreds of actions a day. Only a handful point to a problem, and they are the same in most shops:

  • A receipt voided, or money refunded on a return, especially above a set amount.
  • A big discount, or one above the cashier's own limit, and whether a manager approved it.
  • An item sold below its listed price.
  • A held order or table deleted before it was paid.
  • A shift closed with the drawer over or short.
  • The drawer opened without a sale, and lines taken off a cart after they were rung up.
  • A large sale on credit, and stock lowered by hand.
  • A sale outside opening hours, repeated wrong passwords, a new device paired, or a till that went offline while the shop is open.

None of these proves anything on its own. A void is usually a cashier fixing a mistake. What matters is seeing them, and seeing the pattern.

Don't drown in messages

The first instinct is "send me everything". After two busy days you mute it, and then you see nothing. A better set-up:

  1. Serious events at once, the rest in an hourly digest. A short drawer or a discount over the cap deserves an immediate message; a normal void can wait for the hour.
  2. Set thresholds. Voids above AED 100, discounts of 20 % or more, a drawer off by AED 50 or more. Start with defaults and tighten them after a week.
  3. Quiet hours. Nothing at 2 a.m.; the night's events arrive together in the morning.
  4. A cap per hour, so a busy Friday cannot flood your phone.

Compare people with themselves

One void means nothing. Four voids by a cashier who usually has none, on a day when her discounts were 17 % of sales instead of 2 %, is worth a quiet word. The useful daily question is not "what happened?" but "what was unusual for this person?".

What to do when an alert arrives

  • Open the receipt. The alert should name the cashier, the till, the time and the receipt number, and link to it.
  • Ask, don't accuse. "What happened with receipt 1042?" gets an honest answer far more often than an accusation does.
  • Mark it reviewed, with a note. A month later you will want to know which alerts were explained and which were not.
  • Fix the rule, not just the case. If discounts above the cap keep happening, lower the cap or require a manager's card.

How CreekPOS does it

In CreekPOS Online, owner alerts are switched on in Settings → Owner alerts, where you choose the events, the amounts, quiet hours and the mode (serious ones at once, the rest hourly, by default). Alerts appear on a bell in the back office and on an alerts page you can filter, mark as reviewed and export; they can also go to your e-mail and, from the Restaurant plan, to your shop's Telegram bot. A sale made while a till was offline raises its alert when it syncs, with the time it really happened. The daily summary gets a "Needs a look" block that compares each cashier's day with their usual one.

The same page switches on Ask your shop: type "sales today" or "who owes me" in plain words and get the exact figure from your own data. See the owner tools on the features page and the manual chapter. Alerts are available from the Retail plan.
