An assistant on WhatsApp is only as good as what it knows about your shop. The AI Front Desk now reads your own notes and catalogue, lists the questions it could not answer for you to answer once, remembers your regulars, turns problems into cases for your team, and checks every reply before it goes.
A perfume and oud shop in Deira gets the same WhatsApp questions every day. "Do you have it in 12 ml?" "Can I return a bottle if my wife does not like it?" "Is there parking?" "Same as last time, please." The AI Front Desk already answers from the shop's menu, prices, stock and hours. Now it also learns the rest of what the shop knows, and tells the owner what it does not.
Your shop's own facts
The Front Desk reads what your shop already has: your questions and answers, your notes under What customers ask (returns, allergens, parking, large orders), the catalogue's descriptions and options, your opening hours, pickup and delivery areas, your online shop's details and the stamp card's rule. For each message it picks the few passages that fit and answers from them.
Prices never come from your notes. They always come from the live catalogue at that moment, so an old note can never quote an old price.
The questions it could not answer
When the Front Desk had no answer, the customer's question goes on a list for the owner, the most asked first. Answer it once, and the answer is used from the next message. Dismiss the ones that need no answer. Try a question shows what it would read before you rely on it. After a week, the list tells you exactly what your customers want to know.
It remembers your regulars
For each customer it keeps a short summary across conversations: preferences, past problems, anything still open. The customer who always takes the oud oil in the 6 ml bottle does not have to say it again. Card numbers, passwords and codes are never kept. You choose how long messages are kept (30 to 365 days), and you can Forget or Erase a customer at any time. A customer who asks to delete their data gets a case for your team.
Problems become cases
When something needs a person (a late delivery, a wrong bottle, a "call me back"), the Front Desk opens a case with a brief: what happened, the facts, what was tried, the actions it proposes and how urgent it is, urgent only when the customer's own words show it. The case is assigned, reminded and followed until your team closes it. A pickup time is saved as agreed only when the customer named that exact time.
It also suggests at most one thing per reply (order, book, join the stamp card, leave a review), and respects "not now".
Checked before it is sent
Replies are short: the answer first, in one to three sentences, one question at a time. It says it is the shop's AI when asked and never pretends to be a person. It never asks for card numbers or passwords and sends no links but your shop's own. A risky reply, about a photo or a voice note, gets a second check and one repair; a reply that still breaks the rules is never sent, and a person takes the chat.
And when the day's replies are used up, messages are still taken in for your team: nothing is lost.
